Business note

If the work lives in five spreadsheets, you do not have a system.

Most companies do not lack information. They lack one version of it. The job was done. The photo was taken. The invoice went out. Ask where that lives and you get a folder, a WhatsApp chat, a spreadsheet, and a person who says they will check.

That is familiar on a facilities contract, on a building site, and in an office that looks organised from the front desk. The work is different. The fracture is the same.

On a facilities contract

A maintenance contract is a promise that someone will show up, do a defined job, and be able to prove it later. The call-out arrives on a phone. The findings come back as a voice note, or a photo of a paper form. The list of plant and equipment sits in a workbook that was last honest when the contract started. When the client asks for the quarter’s report, someone rebuilds it from memory and from whatever chats have not been deleted.

The client is not paying for a tidy spreadsheet. They are paying to know what was checked, what failed, and what happens next. If that answer depends on one person’s phone, the contract is thinner than it looks. Six months on, nobody can say with confidence which unit was serviced, who was on site, or whether the fault from last time was ever closed.

On a building site

A site has its own memory, and it is usually the person running the day. Progress, a variation, a delay, a delivery that arrived short — these live in a notebook, a group chat, and a sheet someone in the office keeps separately. The invoice then goes out from a third version. By the time a client or a principal asks how the job is going, the story has to be assembled, and the people who were there are already on the next site.

Site work is not informal because the people are careless. The recording was designed for a desk. If the person who did the work cannot write it down where they stand, it will be written later, by someone who was not there. That is how a variation becomes an argument, and how a day that was busy still cannot be explained.

In the office

Office work hides the same gap behind nicer files. Quotes in one place, invoices in another, a pipeline that only one person understands, and the real status of a client sitting in a personal inbox. The month can look full and the business still cannot say, without a morning of digging, what is owed, what is late, and which work is actually paying for itself.

A shared drive is not a system if the latest file is called Final_v7 and two people have been editing their own copies. Neither is a spreadsheet that three managers update when they remember. The number on the sheet and the number in the bank start to part company, and everyone learns to distrust both.

What a system actually is

A system is one place the work is written down as it happens, by the person closest to it, in a form the next person can use without a phone call. The site and the office should not be keeping two truths. A report for a client should be the work itself, not a document someone rebuilds on a Friday because the real record is scattered.

Photos, dates, names, and a decision — done, sent back, still open — belong with the job. A list of plant, of jobs, or of what is still outstanding should come from that record. The moment the list lives in one file and the truth lives in another, they drift apart, and they always drift toward the file somebody forgot to update.

A spreadsheet is a fine tool for a list one person maintains and looks at occasionally. It starts to fail when several people change it, when the truth includes a photo or a signature, and when next month’s report has to be built again from scratch. At that point you do not have a system. You have a habit of copying.

Buy a ready-made tool when the job is ordinary and the tool already fits the way you work. Build one when the sequence is yours: how a visit is proved, how a site is handed from the team to the office, how a quote becomes a job and a job becomes something you can stand behind. The point is not more software. The point is that the company can answer a simple question without hunting.
